Terms of Service

1. Acceptance of terms
By creating an account or using SnapRota, you agree to these Terms of Service. If you do not agree, do not use the service.
2. The service
SnapRota is a web-based staff rota scheduling application. We provide tools to create and publish shift schedules, manage staff availability, and handle shift swap requests. The service is provided on a subscription basis.
3. Free trial
New accounts receive a 14-day free trial with full access to all features. No credit card is required to start the trial. At the end of the trial period, you will need to subscribe to continue using SnapRota. If you do not subscribe, your account will be paused and your data retained for 30 days.
4. Subscription and billing
- SnapRota costs $14/month per business location.
- Subscriptions are billed monthly in advance via Stripe.
- There is no per-user or per-staff-member pricing.
- You may cancel at any time from your account settings. Cancellation takes effect at the end of the current billing period. No refunds are issued for unused time within a billing period.
- We reserve the right to change pricing with at least 30 days notice to active subscribers.
5. Your account
You are responsible for maintaining the security of your account credentials and for all activity that occurs under your account. You must:
- Provide accurate information when creating your account.
- Keep your password secure and not share it with others.
- Notify us immediately at hello@snaprota.com if you suspect unauthorised access.
6. Acceptable use
You agree not to:
- Use SnapRota for any unlawful purpose.
- Attempt to gain unauthorised access to any part of the service.
- Resell or sublicense access to SnapRota to third parties.
- Use the service in a way that could damage or overload our infrastructure.
7. Your data
You own all data you enter into SnapRota (rotas, staff details, etc.). You can export your data at any time. On account closure, data is deleted after 30 days. See our Privacy Policy for full details.
8. Service availability
We aim for high availability but do not guarantee uninterrupted access. We may perform maintenance that causes brief downtime. We will endeavour to give advance notice of planned maintenance. We are not liable for losses arising from service interruptions.
9. Limitation of liability
To the maximum extent permitted by law, SnapRota shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the service. Our total liability to you in any month shall not exceed the amount you paid us in that month.
10. Termination
We reserve the right to suspend or terminate accounts that violate these terms or engage in abusive behaviour. You may close your account at any time from your settings page.
11. Governing law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
12. Changes to these terms
We may update these terms from time to time. We will notify active subscribers by email at least 14 days before material changes take effect. Continued use of SnapRota after that date constitutes acceptance of the updated terms.
